The Role
The Design Operations Coordinator plays a critical role in ensuring the smooth execution of design projects, fostering a high-performance team environment, and continuously optimizing workflows. This role requires a proactive leader who thrives in fast-paced environments, is unafraid to ask tough questions, and can pivot quickly when priorities shift. The ideal candidate has a strong understanding of design and branding principles, embraces curiosity, and is comfortable giving and receiving direct feedback.
What You’ll Do:
- Task & Workflow Management: Own and manage the day-to-day task distribution, ensuring designers can begin their work without blockers. Assign tasks in a balanced and strategic manner, adapting to shifting priorities as needed.
- Proactive Problem-Solving: Monitor project progress in real-time, identify bottlenecks, and swiftly reallocate resources to maintain efficiency. Adjust timelines and deliverables when urgent projects arise without disrupting ongoing workflows.
- Process Optimization: Regularly audit Design Ops effectiveness by analyzing team productivity and operational efficiencies. Provide data-driven insights and implement process improvements.
- Strategic Planning & Stakeholder Alignment: Work closely with the Sr. Manager of Design Ops to define workflows and establish realistic timelines for large-scale projects. Set clear expectations with stakeholders by providing regular updates on progress, challenges, and necessary adjustments to ensure seamless execution.
- Cross-Functional Collaboration: Build and maintain strong relationships with key stakeholders across Customer Success, Marketing, and other teams to align design priorities with business objectives.
- Team Advocacy & Leadership: Act as a champion for the Design Team, making decisions that enhance efficiency, creativity, and overall team well-being. Ensure the team is empowered with the tools and support needed to produce high-quality work.
- Communication & Transparency: Keep all team members informed about process updates, workflow changes, and internal adjustments via meetings, newsletters, and Slack. Ensure all associates acknowledge and implement these updates.
- Feedback & Accountability: Foster a culture of open dialogue by encouraging constructive feedback and clear communication. Push back when necessary to maintain quality and alignment with business needs.
- Design & Branding Knowledge: Maintain a deep understanding of the BentoBox platform, its design capabilities, and branding guidelines. Serve as a go-to expert for the team, ensuring design consistency and excellence across all deliverables. Provide guidance on best practices and continuously explore new ways to enhance the team’s creative output.
- Showcase & Recognition: Curate and distribute a monthly roundup of standout design work, ensuring team efforts are recognized and celebrated across the organization.
- Operational Excellence: Oversee organizational and administrative tasks related to design assets, project management, and process documentation.
- Experience: Minimum 1 year in an operational or project management.
- Strong Design Acumen: Well-versed in web design terminology, infrastructure, branding principles, and best practices.
- Tech-Savvy: High competency working with web-based technologies such as Asana, Google Docs, and Jira.
- Ownership & Leadership: A self-starter who takes initiative, drives projects forward, and holds themselves and others accountable.
- Adaptability: Ability to pivot seamlessly in response to shifting priorities and business needs.
- Curiosity & Problem-Solving: Always looking for ways to improve processes and enhance team efficiency; adept at both identifying and solving problems as they arise.
