The Role
The Operations Specialist plays a crucial role in supporting our Therapist team by providing comprehensive administrative and clerical assistance. This position is essential for optimizing the responsiveness and accuracy of our service delivery, directly impacting the employee experience. You will be instrumental in streamlining processes, managing data, and ensuring the smooth operation of various administrative functions.
This is a hybrid role that will require 2 days in the office.
What You’ll Do:
- Manage and update therapist calendars, blocking time as necessary for appointments, meetings, or other commitments.
- Assist with payroll-related tasks, such as gathering information or resolving discrepancies.
- Follow up on and file Leave of Absence documentation, ensuring all paperwork is complete and properly stored.
- Triage and escalate complex or unusual time-off requests to the appropriate personnel for resolution.
- File and organize personnel documentation in Google Drive and Rippling, ensuring documents are easily accessible and properly categorized.
- Provide general administrative support as needed, including assisting with special projects or tasks as assigned.
What We Expect From You:
- Proficient in written and verbal English, demonstrating clear and effective communication skills.
- 1-2 years of proven experience in a data entry or data management support role, with a strong understanding of data accuracy and integrity.
- Meticulous and detail-oriented with a commitment to accuracy in all tasks.
- Demonstrated ability to manage time efficiently, prioritize tasks, and meet deadlines in a fast-paced environment.
- Ability to work collaboratively and effectively utilizing virtual communication tools.
- Familiarity with US HR practices is highly desirable.
